  • Overview: 

The UK’s national institute for data science and AI, The Alan Turing Institute, runs the data-centric engineering programme in partnership with the Lloyd’s Register Foundation. They held a two-day global summit with media partner Cambridge University Press Data-Centric Engineering journal to bring together world-leading academic institutions and major industrial partners from across the engineering sector. 

This was an international conversation with over 25 sessions bringing together over 80 speakers, including Dr Vint Cerf, Chief Internet Evangelist & Vice President, Google, USA and Professor Neil Lawrence, DeepMind Professor of Machine Learning, University of Cambridge, UK. 

The key objectives of the event were to connect the global data-centric engineering community for dialogue, idea generation, benchmarking, and networking. They wanted to create a slick broadcast feel with two MCs hosting the event from our studio – Kate Bellingham and Declan Curry. 

The Alan Turing Institute contracted Southbank Events Consultancy to manage the large, international list of speakers, with whom we developed a solid working relationship to ensure the event ran without a hitch.

  • Challenges:

  • We were working to a packed and tight timeline with a large volume of international speakers with mixed technical understanding and experience of virtual events, as well as Southbank, an external company who were managing the speakers
  • There were several highly notable speakers at the event and stakeholders at the institute
  • It was a complex setup with two MCs in our London studio, and a second technician in a separate studio managing the incoming virtual speakers
  • Solutions:

  • We worked closely with Southbank to create a workflow to ensure all parties worked to time and the same objectives
  • We spent time educating all parties involved on the process and functionality of the Hopin platform, including Professor Mark Girolami, the Chief Scientist of The Alan Turing Institute
  • To manage language barriers, we simplified our technical instructions and speaker briefings
  • We utilised green screen technology in our studio and ran several tests to ensure the talkback setup was optimised so that the two MCs could hear the remote speakers fluidly. We made sure there were no time lag issues with latency testing and we ran extensive audio tests to make sure there was no unwanted sound bleeding into the live stream
  • We utilised the breakout room and networking functions within Hopin to facilitate the one-to-one meetings and networking opportunities that were key event objectives

  • Overview: 

Carbon Forward approached us to create a hybrid event for their 6th annual conference.

The global B2B conference was jointly sponsored by Redshaw Advisors and Carbon Pulse who were key stakeholders in the organisation of the event. 

The clients came to us with the event platform Myconnector in mind, so we integrated the platform into our tailored solution. Myconnector was a cost-effective platform that provided an end-to-end solution for Carbon Forward, from registration and ticketing through to hosting with custom branding and networking.

  • Challenges:

  • We had 70 speakers to brief in a short space of time
  • A second concurrent stream was added to the build towards the end of the project, which needed a completely different look and feel to the mainstream
  • The clients did not have a dedicated event manager, this was organised alongside their day-to-day job
  • We were on hand to give the key stakeholders support when needed to manage the event build and organisation
  • Solutions:

  • We facilitated multiple tech briefings in the week leading into the event, covering several time zones including USA and APAC
  • We committed resources and team members to create assets, including bespoke animations, in a restricted time frame
  • We created bespoke assets for the two concurrent streams to give them a different look and feel
  • Result:

We helped them realise that by transforming Redshaw Advisors office, a key sponsor of the conference, into a hybrid studio where the MC and moderators delivered their part of the event. We facilitated talk-back between the speakers in the studio and a virtual panel who appeared on a TV in line with the cameras to help make the conversation feel natural. I was on location to help create a conduit between the production team, moderators, and our virtual producer who was looking after the remote contributors. We have worked with Amara on their virtual Interior Blog Awards Ceremony for the past couple of years. They reached out to us to ensure the event flowed seamlessly and the audience and participant experience maintained the luxe, refined feel of their brand.

  • Challenges:

  • With over 60 participants, many of whom hadn’t taken part in a virtual event before, there was a significant amount of tech and speaker briefings to be done
  • The team at Amara organise this event alongside their main job, so it was important to be flexible and on-hand when they needed
  • We needed to factor in last-minute changes to the event assets
  • On the night, some of the speakers didn’t stick to the script, which meant our project build didn’t fully align at times.
  • Solutions:

    • We factored in enough time on the project to brief all participants on the tech, the workflow, and what they needed to do, when
    • We used a simple workflow to live stream into Amara’s website to ensure the software and tech was as accessible and user friendly as possible
    • We used a google sheet to feed directly into the build of the assets. This meant that if a name or blog title needed editing at the last minute, it was as simple as updating the google sheet, which auto-updated the assets
    • We built a new zoom workflow with 12 ‘award rooms’ as opposed to 1 ‘go live’ room to make the process more efficient. This minimised the intermission time between the awards, resulting in a 30% reduction in event length
    • Our live stream engineer took care of all the participants, so they didn’t need to do anything, which created a stress-free, more enjoyable experience for them

We were approached by The PHA Group to help produce a press conference for their client, the Royal Institution of Chartered Surveyors (RICS). 

The main objective of RICS was to reach as many members as possible and facilitate a moderated Q&A from members as well as from 10 journalists who tuned in to ask questions live at the event.

  • Short timeline – we had 1 week for the event build
  • Facilitating 10 journalists in a quick fire Q&A with no time to brief pre-event

  • We pulled in additional resources to get the event assets and the project built in time
  • We ran 10 minute briefs for all of the journalists before we went live

It was a high profile public event discussing the findings of an independent review by Alison Levitt. It was important to make the event as accessible as possible whilst also ensuring all members had an opportunity to field questions, so we simulcasted the event out via Slido and the RICS Youtube channel. We were really delighted when E-ACT approached us to take their one day Ideas Conference, in collaboration with TES, online. 

This important Conference focussed on mental health in our schools, a very timely topic after an unprecedented 18-months of lockdowns and disruptions to multiple facets of life, including education. It was important to honor the gravity of the subject in the look and feel of the conference, as well as provide a forum for idea generation.

E-ACT’s main objectives were to find a way to connect with their country-wide audience of educators and bring them together with government and academic thought leaders to learn, inspire action, share best practices and practical tips, and network. 

We matched E-ACT’s objectives to three event platforms, eventually deciding on the Hopin Growth Package, which is a cost-effective solution that allows for easy and affordable scaling of attendee numbers and has an in-built networking feature.

  • Challenges:

  • This was E-ACT’s first online event and was of significant size
  • The conference included some of the most important names in government and academia, all of whom needed speaker briefings and technical checks
  • The registration process was challenging in that attendees registered via the E-ACT website and then needed re-registering on the Hopin platform
  • Solutions:

  • We allocated more time to the project to ensure we could help the E-ACT team understand the process and technology of virtual events and make sure they were comfortable at every step of the event building process
  • Co-Founder Tom Mahon project managed the event build and was a central point of contact throughout
  • We utilised our project management systems heavily with the E-ACT team to provide transparency throughout the project build and provide peace of mind at each step
  • We used a range of Hopin resources to help build a solid foundation of knowledge on the platform and how it works for full confidence
  • We remained flexible to the demands of the project, for instance, we created a briefing video for the speakers that couldn’t attend the live briefing meeting with our tech team
  • We learnt the hard way that the Hopin Growth Package doesn’t allow for csv uploads from other registration tools, and is certainly a factor to consider when looking at this package, but we successfully registered all attendees on to the platform

  • Introduction

In January 2021, The Geneva Summit for Human Rights and Democracy approached London Filmed and asked for help in facilitating the transition of their annual conference over to the digital stage. 

The conference aims to bring together human rights activists from around the world to share stories, and plan action strategies. The event was hosted by Hillel Neuer and featured Human rights heroes, activists and former political prisoners from China, Cuba, Iran, North Korea, Pakistan, Russia, Venezuela and other countries.

Filmed across six locations around the globe, the summit needed a huge amount of organisation and project management to ensure consistency of style and quality. Because of COVID and other restrictions, many speakers were unable to travel to pre-record their content for the summit, so we reached out to our global network to source production companies that could help. We used studios in the UK, US, Germany, New York, Belarus and Israel. For the remote panel in Washington, we brought in Nathan Law from London and Can Dündar from Germany. In order to make sure all the lighting, camera settings and style was consistent across the studios, we created a detailed set of shooting guidelines and briefed each production company thoroughly before the shoot day.

    • Creating an opening film that captured the tone, feel, and gravitas of the event
    • Filming in six locations across the world
    • Pre-recording a panel discussion using speakers from across the world in three different studios.
    • Handling sensitive and emotive topics respectfully, while ensuring a voice was given to the voiceless and the powerful messages of the speakers were amplified.

    • We dedicated time to really understand and learn the stories of the activists. We spoke at length with some of the team at  The Geneva Summit to gain insight into how we could best empower the speakers at the event

The future of events is hybrid, and hybrid events require robust plans and technical input from the outset.

As a post-pandemic world comes into view, physical events are set to have a shakeup of their own, taking on elements of virtual events, creating an altogether new experience that connects global audiences.

This was the case for the Baptist Union of Great Britain (BU) for their 4-day Baptist Assembly hosted from their office in Didcot, Oxfordshire. BU has over 1,800 member churches and 13 regional Associations across England and Wales and was joined by BMS World Mission with their global scope for this event.

The event was over 5 months in the making, demonstrating the work that needs to be done in order to execute a successful hybrid event of this scale!

  • Challenges

    • This was BU’s first hybrid event, so we helped guide them throughout the process.
    • Identifying the right space for the event with a complex array of sessions
    • Various session types over the 4 days – workshops, prayer sessions, fireside talks, an AGM, etc. creating a busy event schedule, which required an extra level of project management
    • A mixture of pre-recorded content, live speakers in-studio and live remote speakers needed to be managed through the event
    • A global audience meant time zones had to be fully considered to ensure a seamless experience wherever the attendee was based
    • Inclusivity was an important consideration both in platform and delivery, particular consideration for British Sign Language users
    • The safe management of people in and out of the venue/rooms in a COVID safe manner
    • A particular emphasis on project management leading up to the event given the numerous stakeholders involved and the complexity of the event delivery

    • External project management tools to allow open communication between parties, tech briefings with all speakers, script reviews and full event tech rehearsals agreed on verbal cues for content and speaker transitions.

    • A full walkthrough of the event in advance of the live event

    London Filmed delivered a slick, hybrid event solution with a broadcast feel that personified the BU brand. We reached a much larger audience than BU typically entices with over 37,300 views over the course of 4 days and received positive attendee feedback such as this attendee who tuned in from Vienna:

In December 2020, the UK’s national institute for data science and artificial intelligence (AI), The Alan Turing Institute, approached London Filmed to help host their two-day virtual conference, AI UK. 

The event needed to showcase the best of UK academic work in artificial intelligence, bringing together thought leaders, innovative businesses and specialist third sector bodies. There was an exciting array of state-of-the-art AI and machine learning (ML) to be exhibited and a desire to increase awareness and engagement with the Alan Turing Institute.

The exclusive event connected UK academics working in AI with research users from industry, commerce, and government to discuss, learn and facilitate new UK AI collaborations. 

  • Challenges

    • The event was to be presented across two streams on each day 
    • There were a large volume of speakers to prepare, many of whom were presenting slides
    • An MC had to manage two streams and multiple sessions
    • There was a large and complex agenda 
    • Needed a highly professional result but speakers were streaming from their homes
    • Needed to incorporate pre-recorded content, presentations, live material, and audience interaction

    • We created a detailed speaker preparation plan, which took place over six 30 minute sessions

Nesta Challenges approached London Filmed to help execute an exciting virtual award show, in collaboration with Amazon. 

The Amazon Longitude Explorer Prize is a year-long competition that challenges teams of young people aged between 11 and 16 to design, test and develop technology enterprises for social good. The prize inspires, educates and enables a diverse range of young people to develop real innovations for the future.

The look and feel of the award show really needed to honour the entrepreneurial spirit of the project and be relevant for the young audience. By creating custom illustrations for each of the 40 finalists based on their inventions, animations, and bespoke branded designs, we brought the event to life in a particularly personalised way that was engaging for the target audience.

    • Needed the whole event to feel cohesive, be celebratory, and age-appropriate
    • An informative, yet engaging animated intro video to be played at the event
    • Working with strict safeguarding policies for children involved in the production
    • Working with a host that was relatively new to virtual events
    • Working to a tight deadline
  • Solutions

    • We worked collaboratively with an illustrator, animator and graphic designer to create vibrant and engaging illustrated assets throughout the event
    • We storyboarded video plans and collaborated with an illustrator, animator and voiceover artist to execute dynamic animated video
    • Nesta arranged necessary permissions with the children’s parents for filming with a teacher/guardian present. Where permission was denied, our editing team worked to disguise participants on video
    • Arranged in-depth technical briefings and rehearsals with all participants
    • Creative teams worked quickly and efficiently to create the custom design work once winners names were announced close to the event date

PA Consulting had a mission to create a fully immersive, day-long awards ceremony for their annual PA Raspberry Pi school coding competition for 8-18 year olds. What used to be in-person needed to pivot to the virtual stage due to COVID restrictions.

  • Replicating the networking experience of a live event, and the ease of chatting with fellow attendees about their inventions

  • Live hosts incorporated into the event’s awards ceremony whilst abiding by COVID regulations
  • Nationwide sponsor needed to be present and engaged with during the event

  • We used SparkleVerse, a fully customisable virtual and hybrid event platform famous for creating immersive and interactive experiences, notably bringing the Burning Man festival online in 2020 and 2021
  • A well thought-out agenda kept the guests moving around the different zones throughout the day
  • London Filmed used a professional green-screen studio to live-stream hosts Georgie Barratt and Frazer Bennett during the awards ceremony
  • We worked closely with Nationwide to create a logic puzzle game as an interactive zone at the event
  • We used our talented illustrator and animator to create a custom virtual ‘world’, which was uploaded onto the Sparkle platform. It contained a central hub for the attendees to explore, with various zones for showcasing the inventions in video form, networking spaces, a sponsor zone in collaboration with Nationwide, a judges zone and a main stage arena in which the live-streamed ceremony took place. 
  • London Filmed recorded, edited, and animated pre-recorded video content which was played throughout. We then created snappy, highlight reels to showcase the children’s inventions. We also created bespoke animations for each age group in keeping with the ‘PA world’.
  • Attendees selected custom profile pictures and engaged in live chat features, whilst also having the opportunity to enter virtual networking tables for focused conversations
  • We hosted the Finalists Gallery on YouTube, which was linked to in the ‘PA world’. In this zone, judges invited each group into a private networking space to discuss their inventions
  • London Filmed combined animated elements and video content to produce exciting promotional and conclusive material

  • Result

    Overall, London Filmed coordinated both PA and Sparkle teams to create a truly creative virtual event experience. Feedback from attendees was hugely positive, with guests commenting how immersive and engaging the entire event was, providing ample opportunities to inspire, network, learn.
