In January 2021 The Geneva Summit for Human Rights and Democracy approached London Filmed and asked for help in facilitating their first-ever virtual conference. The event has been held annually every year since 2009. The summit is sponsored by a coalition of 25 human rights NGOs and is widely praised by the international human rights community. The aim of the conference is to bring together human rights activists from around the world, to share their stories and to plan action strategies. Coronavirus has only further shined a light on brutal regimes around the world and so it was of the utmost importance to hold the summit again this year. Filmed across 6 locations around the globe the summit would be the most challenging one to date. The event was hosted by Hillel Neuer and featured Human rights heroes, activists and former political prisoners from China, Cuba, Iran, North Korea, Pakistan, Russia, Venezuela and other countries.

Because of the Coronavirus pandemic and other restrictions many speakers would be unable to travel to pre-record this summit. We used our global network to source production companies that could help us facilitate this event. The main bulk of the filming would take place in the UK and the US. Other studios in Germany, New York, Belarus and Israel would be brought in remotely or film speakers in isolation. For the remote panel in Washington we brought in Nathan Law from London and Can Dündar from Germany. In order to make sure all the lighting, camera settings and style was the same across all studios, we created a detailed set of shooting guidelines and briefed each production company thoroughly before the shoot day.

The future of events is hybrid, and hybrid events require robust plans and technical input from the outset.

As a post-pandemic world comes into view, physical events are set to have a shakeup of their own, taking on elements of virtual events, creating an altogether new experience that connects global audiences.

This was the case for the Baptist Union of Great Britain (BU) for their 4-day Baptist Assembly hosted from their office in Didcot, Oxfordshire. BU has over 1,800 member churches and 13 regional Associations across England and Wales and was joined by BMS World Mission with their global scope for this event.

The event was over 5 months in the making, demonstrating the work that needs to be done in order to execute a successful hybrid event of this scale!

  • Challenges

    • This was BU’s first hybrid event, so we helped guide them throughout the process.
    • Identifying the right space for the event with a complex array of sessions
    • Various session types over the 4 days – workshops, prayer sessions, fireside talks, an AGM, etc. creating a busy event schedule, which required an extra level of project management
    • A mixture of pre-recorded content, live speakers in-studio and live remote speakers needed to be managed through the event
    • A global audience meant time zones had to be fully considered to ensure a seamless experience wherever the attendee was based
    • Inclusivity was an important consideration both in platform and delivery, particular consideration for British Sign Language users
    • The safe management of people in and out of the venue/rooms in a COVID safe manner
    • A particular emphasis on project management leading up to the event given the numerous stakeholders involved and the complexity of the event delivery

    London Filmed delivered a slick, hybrid event solution with a broadcast feel that personified the BU brand. We reached a much larger audience than BU typically entices with over 37,300 views over the course of 4 days and received positive attendee feedback such as this attendee who tuned in from Vienna:

In December 2020, the UK’s national institute for data science and AI, The Alan Turing Institute, approached London Filmed to help host their two-day virtual conference, AI UK. This would showcase the best of UK academic work in artificial intelligence; bringing together leading thinkers, innovative businesses and specialist third sector bodies.

The exclusive event connected UK academics working in AI with research users from industry, commerce, and government to discuss, learn and facilitate new UK AI collaborations. 

The event showcased an exciting array of state-of-the-art AI and ML and increased awareness and ways to engage in the Turing Institute.

Nesta Challenges approached London Filmed to help execute an exciting virtual award show, in collaboration with Amazon. The Amazon Longitude Explorer Prize is a year-long competition that challenges teams of young people aged 11 to 16 to design, test and develop technology enterprises for social good. The prize inspires, educates and enables a diverse range of young people to develop real innovations for the future. We worked collaboratively with a talented illustrator, who created custom illustrations for each of the 40 finalists, based on their inventions. These illustrations were then used to create engaging animated videos and re-worked into bespoke templates to be used throughout the virtual event. The creative production followed tight timelines due to the award winners only being announced closer to the event itself. We also adhered to strict safeguarding considerations when filming and editing younger children for videos which were played throughout the event.

    • Create an informative yet engaging animated intro video to be played at the event

    • Worked collaboratively with illustrator, animator and graphic designer to create vibrant and engaging illustrated assets used throughout the event
    • Storyboarded video plans and collaborated with illustrator, animator and voiceover artist to execute dynamic animated video
    • Nesta arranged necessary permissions with the children’s parents for filming with a teacher/guardian present. Where permission was denied, our editing team worked to disguise video participants
    • Arranged in-depth technical briefings and rehearsals with all participants
    • Creative teams worked quickly and efficiently to create the custom design work once winners names were announced

    Overall, this event was a huge success with glowing feedback received from teams and teachers, making up the main audience of the event. Presenters and panelists went into the virtual event feeling confident with the technical process and their involvement, which was evident in the successful execution of the panel discussion in particular. Post-event feedback spoke highly of the unique illustrative animations and custom design-work, which was brought together as a collaborative effort

Around the start of 2021, PA Consulting approached London Filmed with a mission to help create a fully immersive, day-long awards ceremony for their annual PA Raspberry Pi school coding competition, that sets the children aged 8-18 a STEM-based challenge.

Typically, PA Consulting hosts their awards show in-person, inviting a cohort of schoolchildren, teachers, mentors, and judges – allowing invitees the chance to network and discuss their competition experience. Whilst Covid-19 rules are still in play, PA decided to take to the virtual stage instead. For them, creating a shared experience was top of the priority list; they wanted the schoolchildren and judges to feel as if they were all there together, to chat and discuss each other’s inventions – replicating the same networking experience as if it were a live event.

PA wanted a fully customisable platform, therefore London Filmed reached out to the team at SparkleVerse. A virtual and hybrid event platform famous for creating immersive and interactive experiences, notably bringing the Burning Man festival online in 2020 and again this year. 

The multi-faceted brief was given with a 3-month deadline, which sounds a lot, but considering the sheer scale of this project was no mean feat. One element of the project was working with our talented illustrator to create a custom virtual ‘world’ to be uploaded to the Sparkle platform. The idea of this was to act as a central hub for the attendees to explore, with various zones for showcasing the inventions in video form, networking spaces, a sponsor zone in collaboration with Nationwide, a judges zone and a main stage arena in which the live-streamed ceremony would take place. All of these zones required custom illustration and animation, which really brought it to life. Beyond the building of the Sparkleverse world, London Filmed were tasked with recording, editing and animating pre-recorded video content which was to be played throughout the PA event. This content was made up of pre-recorded interviews with children from multiple school districts and 4 age groups totaling 16 videos. The children explained their projects and our editing team cut down the content into snappier, highlight reel videos to showcase the children’s inventions. London Filmed created bespoke animation for each age group which followed the branding of the event and virtual world. This pre-recorded content aids in making virtual and hybrid events feel more dynamic and digitally focussed.

    • The impressive Sparkle universe/PA ‘world’ was detailed and interactive enough to keep the attendees fully immersed, coupled with a well thought-out agenda which kept the guests moving around the different zones throughout the day
    • London Filmed used a professional green-screen studio to live-stream hosts Georgie Barratt and Frazer Bennett during the awards ceremony – socially distanced of course!
    • Worked closely with Nationwide to create a logic puzzle game as an interactive zone at the event
    • Attendees selected custom profile pictures and engaged in live chat features, whilst also having the opportunity to enter virtual networking tables for focused conversations
    • After having the opportunity to view each team’s work in the Youtube-linked Finalists Gallery zone, judges would invite each group into private networking spaces to discuss their inventions. Judges and children could also join tables in the Networking Zone
    • London Filmed created custom illustrations to use across the ‘world’, giving a truly immersive and engaging experience
    • London Filmed conducted interviews with the school children, after supplying them with professional recording equipment to produce quality footage to then edit and animate, before uploading to Youtube and linking to the Finalists’ Gallery zone at the event
    • London Filmed team combined animated elements and video content to produce exciting promotional and conclusive material

    Overall, London Filmed coordinated both PA and Sparkle teams to create a truly creative virtual event experience. Feedback from attendees was hugely positive, with guests commenting how immersive and engaging the entire event was, providing ample opportunities to network, learn, and be inspired. As there were a lot of moving parts to this multi-faceted project, heavy communication was paramount in its success which was felt across the board from all involved.

After extensive research to find a production company to best suit their needs, Nesta approached London Filmed to help execute their CareerTech Challenge virtual event. The event was to be showcased across 2 ‘stages’ simultaneously, so viewers could dip in and out of different talks, depending on their interests.

Case Study | CareerTech Challenge Virtual Event

  • Result:

The client received brilliant feedback on the event, which came together seamlessly. Nesta’s event objectives were mainly to showcase innovators, present research and advance industry discussions around the changing world of work; this was executed with engaging panel discussions, presentations and solo talks. Overall, the event was a huge success, reaching over 400 registrations from 25 countries. Post-event analysis showed the event was highly engaging, with attendees contributing over 130 chat messages for the Q&A sessions and general discussion.

We worked with the London Filmed team on our online end-of-programme event, and were thoroughly impressed with the results. London Filmed lead on the technical aspects of producing the event, managing the live stream, briefing our speakers, and providing their advice on making the most of the online platform we used – we were able to go into the event confident that everything was in hand. London Filmed also took our existing brand assets and created a unique look-and-feel for the event, which added a high degree of polish. London Filmed will be the first company I speak to for any future events.

  • A well-curated event including a fireside chat between Tom Blomfield, Founder of Monzo and Sarah Wood, Co-founder of Unruly as well as others,, sharing insights of what companies must go through to scale exponentially.
  • We encountered difficulties with the integration between Youtube & Remo leading up to the event. We solved the issue by working closely with the Remo support team and putting contingencies in place such as having a backup live stream to hand. In this instance, we used Vimeo as our backup stream which we had also tested leading up to the event.

The event was hosted by Spanish presenter Cristina Teva, who, along with other speakers delivered the conference in part-English and part-Spanish to around 100 journalists. The exclusive event showcased an exciting array of pre-recorded programme snippets that are set to feature on the network, as well as a Q&A session with senior leadership from NBC, Dreamworks & Movistar+.

The COVID-19 Crisis has left a lot of businesses in the dark about the future of the events industry. At London Filmed, we have managed to adapt our service offering to help event organisers and businesses keep pushing forward and hold their events in the virtual space. A recent situation where we’ve been able to showcase our virtual event expertise was bringing the community together over London Tech Week.

  • Challenges

    At the start of September, we partnered up with Tech Nation to produce one of the flagship events for London Tech Week. This virtual event, with over 1,500 signups, set out to appeal to those looking to scale their company internationally. Where to host this event? We decided to host this event on Hopin, a virtual platform for live online events. The plan was for organisers to have the ability to recreate this in-person event experience online, all in one place, factoring in the different time zones and countries involved in this 12 hour global conference.

  • Solutions

    On the 8th September, designed with leadership teams in mind, attendees were able to hear from 72 speakers from companies that have scaled across the globe, as well as from leading investors and experts in international expansion. Viewers heard from; Darktrace, GoCardless, TransferWise, Culture Amp, ThoughtRiver, Babylon Health, BlaBlaCar, Elvie, Social Chain, SuperAwesome, Decibel, TruRating and many more.

    The London Filmed team worked closely with Tech Nation to produce this 12-hour multi-time-zone event, which hosted 25 different panel discussions, keynote speeches and fireside chats from 7 countries around the world. These panels featured high-profile members of local tech hubs, giving the attendees exclusive insight into what makes each region tick.

    The event was mainly made up of 30-minute sessions, viewers were able to join the sessions which were applicable to them. These sessions enabled viewers to navigate across the globe from their homes, listening to these leading tech figures in; Australia, Singapore, Netherlands, Germany, France, UK, New York, Boston, Atlanta and closing in the Bay Area. They were able to embark on a virtual journey discovering how to expand and scale in different regions post Covid-19, and the countries that are open for business.

    Just under a quarter of the attendees surveyed at the event said that in order to expand globally they need help acquiring general information to help them decide between key markets.     So with the dust brushed off viewers’ virtual passports for this Unlocking Global Tech virtual event, being able to virtually travel around 40,075km in the space of 12 hours was a fantastic, exciting experience for all involved. This conference gave an insight into the future of the event media industry, Virtual Events are here to stay. Given the effects of the pandemic in the beginning of 2020, it is clear that virtual event production has been pushed to the forefront of businesses looking to execute events.
